Short Description:

In this role, you will be responsible for reviewing IT funding requests that support business operations, including reviewing vendor quotes and validating that the requests align with bank policies and are within approved dollar amounts. This role will also review and approve employee expense reports. This is an excellent opportunity to work with various stakeholders to propose and improve operational efficiencies.

Summary

In this role, you will review funding requests for IT expense items such as hardware/software subscription renewals, professional services engagements, etc. The role will approve vendor contracts after assessing if the engagement has sufficient approved funding. Lastly, this role will also review expense reports to confirm that submissions are in compliance with bank and department polices.

Responsibilities will include assessing the rationale of the expense request, reviewing quotes or statements of work provided by vendors, and validating that the requests align with bank policies and are within approved dollar amounts. Coordination with various teams and departments will be required to succesfully manage expense requests.

You will also participate in various initiatives to continue to improve operational efficiency outside of the day-to-day work.  This may include conducting gap analysis (As Is/To Be) to come up with a solution, negotiate with related partners, and implement a solution.

Responsibilities:

1. Expense Funding Requests

  a. Ensure spend request is kept minimal and is justified with sufficient documentation and evidence

  b. Work with various teams to ensure documentation is clear, understandable, and explains why the request is required

  c. Confirm the request is being processed correctly and aligns with bank accounting policies

  d. Facilitate the workflow to obtain necessary approvals

2. Contract Approvals

  a. Ensure sufficient funding approvals were received to process the purchase

  b. Communicate with various teams when funding is unclear or not yet obtained

3. Expense Report Approvals

  a. Review receipts and other required documents

  b. Ensure the request is being processed to the correct departments and with the correct expense codes and categories

4. Process Improvement Initiatives

   a. Conduct analysis to improve internal processes to come up with a suggestion

   b. Negotiate with related partners and implement the solution

Experience

5-6 years of experience within a large, highly matrixed organization with recent work related to standards and governance.

Ability to lead related parties with different interests to reasonable consensus.

Approx. 5+ years in managing department or organization spend.

Approx. 3-5 years BA/PM experience involving process improvement initiatives.

Experience working with IT related spend management is a plus.

Experience in the financial services industry preferred

Familiarity with JGAAP (Japanese Generally Accepted Accounting Principles) accounting standards is preferred.

Skills

Advanced - Microsoft Excel (Macro experience)

Proficient - Microsoft Word, PowerPoint

Familarity with - SAP Ariba, Concur, FieldGlass

Soft Skills

Excellent "people skills" to work with various people, teams and departments to uphold bank policy

Ability to prioritize work without management direction, and provide clear and documented status updates/metrics to management

Excellent written and verbal communication skills with both business/management and technical colleagues

Exceptional organizational skills with ability to manage multiple priorities while adhering to established milestones and timelines

Ability to learn and adapt to new capabilities/tools based on business needs

Ability to troubleshoot complex problems with minimal guidance

Excellent analytical skills and attention to detail

Bachelor's degree
